Best Practice Tip
Start by building out all elements of your pass within Places, Activities, and Prizes in your Global Menu. Once those are complete, navigate to Passes to create your pass. This approach allows you to simply connect existing content, making the pass-building process faster and more streamlined.
Part One: Define The Basics
Step 1:
Log in to app.bandwango.com.
From the left-hand navigation, select Passes.
Click “+ Create a Pass” in the top right corner of the screen
Step 2:
1. Select “Gamified Pass” and hit “Next” at the bottom of the pop up.
Note: You will be unable to change the pass type once it’s been created.
2. Add in your Pass Name
Note: If you’re unsure about your Pass Name. Feel free to use the AI name generator “Ideas” to have the system pull together some ideas. The Pass Name can always be changed later.
3. Choose a default Check-In method.
Check-ins are how passholders earn points. Make sure the method aligns with the level of engagement you want at each location.
Device GPS → User must be within a set distance of the location.
Good for: ease of use, flexibility, no merchant involvement.
Device GPS or PIN Number → User uses GPS by default but can enter a PIN if GPS fails.
Good for: flexibility and locations with poor reception.
QR Code → User scans a QR code on-site.
Good for: verifying presence, engaging businesses, requiring collateral.
Venue PIN Number → User enters a unique 4-digit PIN from the location.
Good for: requiring merchant interaction, areas with poor cell service.
Step 3:
Click “Create” to begin building!
Part Two: Adding Pass Activities
Pass Activities are the beating heart of the pass experience. Add the activities you’d like passholders to take part in as a part of this pass.
Step 1:
Select “Add Activities
If you have already created all of your activities in your Global Menu, you will merely need to search the pop up list that is provided and multi select each activity to include on your pass. You can use the filter options to sort by Type and Category of Activity.
If you have not created all of your activities before beginning your pass build, you’ll need to select “+ Add Activity” in the top right of the pop up window.

Once activities are selected, click “Save Changes” at the bottom of the pop up window.
A smaller pop up will ask you to Confirm the activities selected, you can either continue or go back to make edits to your activity selections.
Select “Continue”
Step 2:
Review Pass Activities page
Ensure all details on this page are pulling through correctly.
You will see that since you’ve selected a default validation, each activity should reflect that validation. Should you want to adjust this validation by venue, you simply need to select the “v” to the right of the validation type to update the location’s validation type.
You will also notice the “...” to the right of each check-in. Here you can either edit information within the check-in or remove it from the pass.
Part Three: Gamification Setup
Step 1:
Navigate to the “Gamification” tab on the left hand menu.
On this page, we will add Prizes, define point values, determine when points will expire for passholders and if needed, assign custom point values to specific locations.
Step 2:
Adding a Prize
Select “Add Prizes”
If you have already created all of your Prizes in your Global Menu, you will merely need to search the pop up list that is provided and multi select each prize to include on your pass. You can use the filter options to sort by Fulfiller or Delivery Method.
If you have not created all of your Prizes before beginning your pass build, you’ll need to select “+ Create Prize” in the top right of the pop up window.
Once Prizes are selected, click “Save Changes” at the bottom of the pop up window.
You will now see that your prize is added to your pass! You can select “Manage Prizes” if you’d like to add another existing prize or create a new one. You can also select the “...” to edit the added prize or remove it.
Step 3:
Define Redemption Cost and Redemption Limit
Redemption Cost is how many points you’d like a passholder to spend in order to redeem their Prize
Redemption Limit is how many times a passholder can redeem that prize.
Defining Point Values
Step 1:
Set your default points.
This is the amount of points you’d want a passholder to earn by checking into locations on the pass.
If you wish, you can set Registration Rewards
This is an optional amount of points you’d provide to a passholder for simply signing up for the pass,
If you wish, you can set Referral Rewards.
This is an optional amount of points you’d provide passholders when they get a friend to sign up for this pass.
Assign points to Vouchers and Coupons
While gamified passes offer points for check-ins by default. This action enables passholders to receive points for Voucher and Coupon redemptions in addition to Check-Ins.
Point Expiration
By default passholder points expire when their pass expires. However you have multiple options if you’d like to override this default.
Upon Pass Expiration
Points expire when the pass does.
Days after expiration
Points expire x numbers of days after the pass’s expiration date.
Specific Date
Points Expire on a specifically assigned date for all passholders.
Custom Points
This is your default point override. Earlier you set what the default point value was going to be for all of your locations. This section allows you to override by venue to offer more or less points than the default.
Note: if you toggle on, you will see all locations are already assigned the default point values.
Save Your Work
Once you’ve completed your gamification tab, select “Save Changes” and move to the next section.
Part Four: Customization
Pass Details
In this section, you’ll help passholders understand the experience you are offering.
Pass Header
Here you can either use your brand color to create a basic gradient mobile pass header or you can upload an image sized 1280x640 px
You can add in a Description of your choosing or use the “Generate Description” button to have AI generate one for you.
Categories
Here is where you can add categories to your pass, if desired. Select “+ Add Category” to either filter and add an existing category or create a new category.
Advanced Content
Toggle on Advanced Content if you’d like to Embed a video or Audio file onto your pass!
This will appear on your mobile pass’s homepage under your mobile pass description but above the Places To Go.
Video Types:
Youtube Embed URL
Vimeo Embed URL
Upload an MP4 or MOV (max. size 500mb)
Audio Files Types
Upload a MP3, OGG, WAV, M4A (max. size 500mb)
Toggle off to reset to default settings and remove these included files.
Place Overrides
Toggle on Place Overrides to the customization settings for any place on this pass.
Here you can click the “...” and select “Pass Overrides” to override the place name, description, place image and even add in a venue specific video or audio file.
Please see “Advanced Content” section above for accepted video and audio file types and size”
Toggle off to reset to default settings and remove these included files.
Place Custom Sort Order
Toggle on Place Custom Sort Order to override the order your places appear on the pass. NOTE: Default is alphabetical.
You can either use the arrows to the left of the locations to move a location up or down or change the number to the left of the arrows to relocate that place to another position.
Toggle off to reset to default settings and remove these included files. Be sure to hit “Save Changes” then navigate to “Settings” on the left hand menu to continue on.
Part Five: Settings
General
Review the Pass name and adjust, if needed.
You’ll be able to review your Pass Type but this is locked and you are unable to adjust this.
Repeat Check-Ins
Configure how often passholders can redeem check-ins on this pass.
Toggle on “Allow Multiple Redemptions” if you would like to add a frequency in which passholders can check into each location on the pass.
You can mark “Also update all existing check-ins on this pass,” if you’re adjusting mid campaign and want every previous and future check-in on the pass to follow this frequency.
Pass Expiration
Configure how long passholders will have access to this pass.
If your pass is already live, consider toggling on “Also apply these changes to existing orders.” This ensures that all passholders will have the updated duration on their pass.
You can set both a start and end date to this duration.
Start Date Options
Upon First Use
Duration begins at first redemption or check-in.
Upon Purchase
Duration begins at sign up or purchase
Specific Date & Time
Duration begins on a specific date regardless of sign up date.
Availability Period
Toggle on “Limit Availability Period” to specify a date range during which this pass will be available for sign up or purchase.
Max Redemptions
Toggle on “Max Redemptions” to limit how many locations a passholder is able to complete on the pass.
Custom Validation
Toggle on “Custom Validations” to override the validation settings for any new Check-In added to this pass. If you’re happy with the default validation you’ve set for everything on the pass, skip this step.
You can switch your validation to any type, GPS, Place’s Pin, No Validation or QR code.
You can toggle on “Allow Multiple Redemptions" to set a frequency to how often a passholders can check-in at locations on the pass.
If your pass is already live, consider toggling on “Apply to all previous and future activities on this pass.” This ensures that all passholders will have the updated duration on their pass.
Part Six: FAQ
Pass FAQs
Help passholders with their pass by answering these common questions and providing FAQs of your own. Based on the pass type you’ve selected, there will be boilerplate FAQs showing.
You have the option to rearrange the order, add FAQs or use the “...” to edit or remove existing FAQs.
Primary Contact
This is a required field.
Add in a primary contact for this pass in case Bandwango's support team needs additional help from the client.
Part Seven: Checkout

Add in a Learn More Description
This will be shown to a customer before they have ordered the pass. This information is displayed when the user clicks ‘Learn More’ sign up / purchase card.
You can either create this description or use the “Generate Learn More” button to have AI generate one for you.
Checkout Highlights
Add in Checkout highlights
Highlight why someone should purchase this pass. This information is shown as bullet points on the sign up/purchase card.
You can either create this description or use the “Generate Highlights” button to have AI generate one for you.
NOTE you must have information in the Learn More Description in order to be able to use the “Generate Highlights” button.
Be sure to hit “Save Changes!”
Congratulations!
You are now ready to select Publish where you’ll be able to add your pass to a channel and pull embed codes to launch it officially on your website!
