Managing Dates For Your Pass

This article explains how to limit access to your pass by configuring when a passholder can sign up for a pass and when they can use the pass.

You will manage pass duration and availability period in the 'Limit Access' section of the 'Settings' tab of the pass builder. These settings will control when someone can sign up for your pass as well as when passholders can redeem the Activities on the pass.

Upon scrolling down to Limit Access, you will see three available options, Limit Access Duration, Limit Availability Period and Max Redemptions. These options will determine when passholders are able to sign up and access their passes.


Limit Access Duration

This section will dictate when passholders are able to check-in, redeem discounts, prizes and any other mobile pass actions. There are three options under the Start Date drop down that will have different effects on the mobile pass.

โ€‹Start Date Options

  • Upon First Use: Passholders have a specific window to use the the pass, and the clock will start when the make their first redemption. If you choose this option, you will need to decide how many days after signup someone has to start using their pass, or select a date. If they do not make a redemption by that date, their individual pass will expire.

Pro Tip๐Ÿš€:

This option is not recommended for use on free passes. This is typically used on paid passes so that people can plan ahead and purchase their passes before they are in destination.

  • Upon Purchase: Passholders can begin using the pass as soon as they sign up. All Things to Do will be available and functioning, upon sign up. If you choose this option, there are no additional selections to make since pass access begins immediately upon purchase.

This is the most common set up for free gamified passes!

  • Specific Date & Time: Activities will be visible at all times but not usable until the date you select. If you choose this option, you will be asked to select a specific start date for when pass activities should become active for passholders. You may also toggle on the 'Set a Custom Start Time' in order to select a specific time on that start date.

Pro Tip๐Ÿš€:

This option is a great choice if you want to start promoting your pass ahead of time. For example: Your Restaurant Week runs 8/1-8/8, but you want people to be able to sign up starting on 7/15 so that they can see which restaurants are participating and you can create excitement around the start of the Restaurant Week event.


End Date

This section will dictate when the pass is no longer available for check-ins or redemptions. You have two options in the 'End Date' box: For example, setting a duration means each passholder's pass expirations align with their individual sign-up dates, whereas a specific date will enforce a fixed expiration for all passholders simultaneously.

Duration: If you choose a duration, passes will expire for each individual passholder based on when they began using their pass and based on what duration you choose. The pass will not expire uniformly across the board.

Specific Date: The pass will expire across the board for all passholders on the date selected.


Limit Availability Period

Start date & time in this section will determine the day the pass will begin showing on your site as well when customers are able to sign up for the pass. Similarly the End Date & Time will determine when this pass is no longer available for customers and will fall off of your Integrated site, automatically. Limiting the pass availability period may be toggled off if preferred. Although, it is best practice to set Start Dates and End Dates for a smoother experience for your customers. If a start date is not set, customers will be able to sign up for a pass at any point in time (once you place the embed codes on your site). If an end date is not set, the pass will be available for signup indefinitely, even if you've set the pass to expire (until you manually remove the embed codes from your site).


Max Redemptions

Alternatively, you may set a pass to be completed and expired based on passholder actions. For example, if you set Max Redemptions to 16, once a passholder reaches that number of redemptions, the pass will be considered completed, and no other actions will be able to be taken.

This feature is most commonly used for paid passes!


Best Practices

Free Savings Passes:

  • Start Date: Upon Purchase

  • End Date: Duration, 365 days

Free Gamified Passes:

  • Start Date: Upon Purchase

  • End Date: 1-2 years from launch. For example: Pass launches on 7/15/25 and expires on 7/15/26. This gives you the opportunity to have an end date on fulfilling specific prizes and gives you a chance to update and re-launch the pass, which is a fantastic opportunity to re-engage your audience.

  • Start Date: Upon First Use

  • End Date: Duration (Duration will be based on financial model)
