How-to and best practices for adding prizes to your pass and setting up inventory and points.

Once your prizes have been created, it's time to add them to your pass and set up your points!

Add Prizes & Prize Settings

Once you click into the 'Gamification' tab of the Pass Builder, you'll see an inventory of all of your prizes that have ever been created. You can use the + to add them to your pass, or the pencil to edit them.

Once you add your prize(s) to the pass, you will be able to set their 'cost' in points, as well as determine how many times the same person can redeem the prize. Remember that you already set your overall inventory when you built the prize, so this Redemption Limit field applies to individual passholders. If you want each person to be able to redeem the prize only once, enter a 1 in that field.

These settings can be updated while the pass is live, so you can use this section to run promotions (prize discount weekends, for example!), add fresh new prizes, and keep your passholders engaged over the life of the pass.

You can also remove prizes from the pass using the red trash can icon. This will remove it immediately from the Rewards tab, but will not affect your reporting for folks who already redeemed. It will also not remove that redeemed prize from a passholder's records. They will still be able to see pickup instructions, for example. It is best practice to fulfill any previously-redeemed prize, even after you remove it from passes.


Points Settings

Check-In Points: If you want all check-ins on the pass to be worth the same amount of points, enter that here. It will apply to all check-ins (including any new ones added after you enter this value).

Referral Points: If you have enabled social sharing (learn more here!), this is where you enter the bonus points that a passholder will receive when their friend signs up using their unique link.

Point Expiration: Set a date for the points to expire. You have a few options:

  • Days After End: Give a buffer period after the pass expires for people to make their final prize redemptions. This will work dynamically if you ever change the expiration date of your pass.

  • Upon Pass Expiration: Points will expire at the same time the pass does, so folks will need to have redeemed their prizes before that date and time.

  • Specific Date: You can set this to any date you like, before or after the pass expires.

Custom Points Settings: If you want different check-ins and coupons to be worth different amounts of points, you can enter those individually here. If you set up custom points, you will need to come back and update any time you add a new Thing to Do to the pass.

Leverage reports for insights! Regularly checking the Prize Shipment Report helps ensure your prizes are redeemed and fulfilled correctly. Staying updated with redemption data can improve user satisfaction and program success.

More is more! Think about points on your Bandwango passes like credit card points or airline miles -- 100 points per check-in feels like it has more value than 1 point.

Think about the math. Do you want people to be able to redeem every prize if they want to? Then you'll need to make sure that there are enough points available on the pass. Points work on a balance -- if I have 1000 and redeem a prize that costs 400, I'll have 600 remaining.

Managing Prize Redemptions

To efficiently manage and verify prize redemptions, use the Prize Shipment Report available in the Bandwango dashboard. Here's how:

  1. Navigate to the Reports tab.

  2. Select the "Prize Shipment Report."

  3. Filter by specific prizes or programs.

  4. Review details such as redemption dates and prize shipment statuses.

Pro Tip: Regularly monitor these reports for actionable insights, and address pending shipments promptly to enhance user experience.
