Managing Dates For Your Pass

This article will explain how the Dates page works in the Pass Builder to control when your pass is active and when it expires.

You will manage your pass' duration and active dates in the Dates page in the pass builder. These settings will control when passholders can redeem the Things to Do in the pass.

The first time you click into Dates, you will see two available options, Dates Someone Can Sign Up for the Pass and When Someone Can Use the Pass. These options will determine when passholders are able to sign up and access their passes respectively.


Dates Someone Can Sign Up for the Pass

The first row will dictate when customers are able to sign up/purchase a pass on your integrated site, and the duration of the pass itself.
Start Date & Time in this section will determine the day the pass will begin showing on your site as well when customers are able to sign up for the pass. Similarly the End Date & Time will determine when this pass is no longer available for customers and will fall off of your Integrated site. Start Dates and End Dates do not necessarily need to be filled out for the Dates Someone Can Sign Up for the Pass section. If a start date is not set customers will be able to sign up for a pass at any point in time. If an end date is not set the pass itself will go on indefinitely.


When Someone Can Use the Pass

The second row will dictate when customers are able to check-in and redeem coupons on the mobile pass. There are multiple options in this row for the Start Date option that will have different effects on the mobile pass.

​Start Date Options

  • Upon Purchase: Passholders can begin using the pass as soon as they sign up. All Things to Do will be available and functioning. If you choose this option, the next two boxes in the top row will disappear.

  • Upon First Use: Passholders will have a specific window to use the pass, and the clock will start when they make their first redemption. If you choose this option, you will need to decide how many days after signup someone must start using their pass, or select a date. If they do not make a redemption by that selected date, their individual pass will expire.

This option is not recommended for use on free passes. This is typically used on paid passes so that people can plan ahead and purchase their passes before they are in destination.

  • Specific Date and Specific Date & Time: Things to Do will be visible at all times but not usable until the date you select. If you choose this option, the next two boxes will change to ask you when the check-ins and coupons should start being redeemable.

This option is a great choice if you want to start promoting your pass ahead of time. For example: Your Restaurant Week runs 8/1-8/8, but you want people to be able to sign up starting on 7/15 so that they can see which restaurants are participating and you can create excitement around the start of the Restaurant Week event.


End Dates

The second row will dictate when redemptions on the pass end. You have two options in the 'End Date' box:

Duration: If you choose a duration, passes will expire for each individual passholder based on when they signed up for their pass and based on what duration you choose. The pass will never expire completely across the board.

Specific Date: The pass will expire across the board for all passholders on the date selected.


Best Practices

Free Savings Passes:

  • Start Date: Upon Purchase

  • End Date: Duration, 365 days

Free Gamified Passes:

  • Start Date: Upon Purchase

  • End Date: 1-2 years from launch. For example: Pass launches on 7/15/25 and expires on 7/15/26. This gives you the opportunity to have an end date on fulfilling specific prizes and gives you a chance to update and re-launch the pass, which is a fantastic opportunity to re-engage your audience.
