Segments let you group users by behavior or traits. This guide shows you how to create and use them to target your messaging!

Creating Segments in Bandwango Experience Builder

Segments in Bandwango allow you to group users based on specific criteria such as actions they've taken, items they’ve acquired, or information they've provided. These dynamic filters give you the power to tailor communications, track behavior, and build marketing strategies that resonate with targeted audiences. Whether someone has signed up for a free pass, redeemed a reward, or used a specific promotion, you can use segments to zero in on the right users at the right time.

What Are Segments Used For?

Segments are the filtered groups of passholders you can send messages to with Bandwango’s communication tools. You can create focused campaigns for users who meet certain criteria, like signing up for a pass, earning a reward, or nearing pass expiration.


How to Build a Segment

  1. ClickSegments in the navigation menu.

  2. Click+ New Segment.

  3. Enter a Name for your segment.

    • Example: “2025 Signees”

  4. Add an optional description to explain the purpose of the segment.

  5. Add Condition(s) to define which users will be included.

  6. Select if users must meet all conditions or at least one to be included in the segment.

  7. Click Create to save your new segment.

Available Conditions and Use Cases

Item Purchase

Filter customers by the items they've obtained—this includes purchases, free signups, and reward prizes.

Total Pass Redemptions

Filter customers by the total number of redemptions on a pass (includes check-ins and vouchers).

Total Pass Points

Filter customers by the total number of points they've earned on a pass.

Pass Expiration

Filter customers based on how soon their pass is set to expire.

Custom Field Value

Filter customers by their responses to custom fields (e.g., survey answers or additional form inputs).

Promotion Used

Filter customers by the promotion codes they’ve applied during signup or checkout.

Location

Filter customers by their geographic location.


Best Segments To Start With

✍️ New Signups

Goal: Easily identify and message users who recently signed up for your pass. Great for welcome emails and onboarding tips.

How to Set It Up:

  • Choose: At Least One

  • Condition: Item Purchase

  • Purchased Item: Your Pass

  • When: Days Since Purchase

    • Less than: 30 days

  • Item Status: Active

Result: This segment will send messages to anyone that has signed up for your pass within the last 30 days.

⏰ Expires Soon

Goal: Engage users whose passes are set to expire within the next 30 days.

How to Set It Up:

  • Choose: At Least One

  • Condition: Pass Expiration

  • Pass: Your Pass

  • Time Until Expiration: Exactly 30

Result: This segment will send messages to anyone with exactly 30 days remaining on their pass.

💡 Tip: You can create a daily message that sends to users that meet this condition (only one message will be sent).

💤 No Redemptions Yet

Goal: Re-engage users who signed up but haven’t used their pass. Encourages first-time use and prevents drop-off.

How to Set It Up:

  • Choose: At Least One

  • Condition: Total Pass Redemptions

  • Pass: Your Pass

  • Pass Status: Active

  • Number of Redemptions: Exactly 0

Result: This segment will send messages to anyone with an active pass that has not been used.

🦸 Super Users

Goal: Identify users who are most engaged by both redeeming at locations and claiming prizes.

How to Set It Up:

  • Choose: Meets All

  • Condition: Total Pass Redemptions

    • Pass: Your Pass

    • Pass Status: Any

    • Number of Redemptions: Greater than 5

  • Condition: Item Purchase

    • Purchased Item: Your Prize

    • When: Anytime

    • Item Status: All

Result: This segment filters users that have redeemed at least 5 vouchers or check-ins at and has claimed a prize.


Understanding User Recalculation

When you create a segment, the page will show you how many users currently match the filters. This number can change over time as user activity updates. The user count updates each time the segment is recalculated, either manually or automatically when a message is sent.

When are user segments recalculated?

  • When you create the segment.

  • When you manually trigger a recalculation within the segment.

  • Automatically when you send a message to the segment.


Exporting Segmented Users

Exporting user segments allows you to download a list of filtered users as a CSV file for reporting, analysis, or external use.

  1. Go to your Segment.

  2. Click View Customers next to the segment you want to export.

  3. On the Customers page, click Export CSV to download the segment data.

  4. (Optional) Use filters or select another segment to refine your list before exporting.
